Conversion from IRP

An option called Convert is available on the Utility menu. This option is hidden, and can be accessed by scrolling the cursor out the bottom of the menu. This option will access another menu that lists all possible files that may be converted from the IMS/ACTR/ACTP format to a format as required by Shop Trac.

IMS/ACTR/ACTP data files should be converted in the following order, where items marked with an * need to be converted before the 'System Ready' field in Setup | Defaults is set to a 'Yes'.

Special Considerations

Please note the following when converting your data files:

bulletAll 'Parts Builder' history items are assigned account A00000.
bulletAny duplicate part numbers have a '-D' added and will be noted in the 'Error Log'.
bulletAll invalid records will result in an entry to the 'Error Log'.
bulletAll customers have assumed 'Charge' terms.
bulletAny outstanding Customer/Vendor orders are NOT transferred.
bulletPhone and fax numbers are assumed to be formatted to include the area code as ###-###-####.
bulletWhen converting parts be sure to complete the 'Obsolete ABC Code' field. If this field is left blank, then all parts will have a value and cost of zero!
bulletThe 'Core Parts Line' field MUST also be completed when converting your core line. If this field is NOT completed all core entries will convert as duplicate part numbers and have a '-D' appended to the part number. Shop Trac will NOT be able to identify these as cores!
bulletConversion should be at the end of the month, and BEFORE any transactions for the new month have been processed in IMS/ACTR/ACTP.
bulletThe ACTR system allowed a balance forward type of receivables. Shop Trac only supports an open document system. If your ACTR system used a balance forward type of system, then all outstanding documents must be manually input into Shop Trac. See the 'Getting Started' section of the users manual for additional information.
bulletShop Trac expects phone/fax numbers to be in the format ###-###-####. If your data does NOT meet these formats the default area code as provided to the conversion routine will be prefixed to your existing phone/fax numbers.
